Polish offices are much stricter than UK offices about who translates a document. If your UK birth certificate is going to a registry office in Poland, or to the Polish consulate here, a normal UK certified translation is not enough on its own.

Poland accepts a translation in only two forms. It is either made by a sworn translator on the Polish Ministry of Justice list, or it is certified by a Polish consul. Both are official. Both are accepted. But they work very differently, and the right one depends on your situation.

This guide explains both routes in plain words, so you can pick the right one before you spend any money.

Why Poland Will Not Take a Normal UK Translation

In the UK, a certified translation means a professional translator signs a statement saying the translation is true and accurate. The Home Office and HM Passport Office are happy with that.

Poland uses a different system. Under Polish rules, a foreign document must come with an official Polish translation, and Polish law says exactly who can make one.

  • A UK certified translation — right for UK offices, but not an official translation in Poland
  • A sworn translation — made by a translator appointed by the Polish Minister of Justice
  • A consul-certified translation — checked and certified by a Polish consul

So the question is not whether your translation is good. It is whether the right person has signed it.

What a Polish Sworn Translator Actually Does

A sworn translator (in Polish, tłumacz przysięgły) is a translator who has passed a state exam in Poland and been added to the official list kept by the Ministry of Justice.

Their translation carries things a normal translation does not:

  • Their personal seal — showing their name, their language and their list number
  • An entry number — every sworn translation is recorded in the translator’s own register
  • A signed note — saying the translation matches the document they were shown

One thing surprises people: a sworn translator does not have to live in Poland. Some work from the UK. What matters is that their name is on the Ministry of Justice list, and you can check that list yourself online before you pay anyone.

How the Polish Consul Certifies Your Birth Certificate Translation

The second route runs through the Polish consulates in London, Manchester and Edinburgh. A consul can certify a translation between English and Polish, and a consul-certified translation is treated as official in Poland, just like a sworn one.

Here is the part most people do not know. For this route, the translation does not have to be made by a sworn translator. The consul checks that it is clear and accurate, and then certifies it.

How it usually works:

  • You get your UK birth certificate translated into Polish
  • You book an appointment at the consulate
  • You bring the original certificate and the translation
  • The consul checks it and certifies it, and you pay a fee per page

The fee and the booking rules change from time to time, so check the current details on your consulate’s website before you go.

If you choose this route, we prepare your English to Polish birth certificate translation in the same layout as your original, so the consul can compare the two quickly.

Sworn Translator or Consul: Which Route Suits You?

Neither route is better in every case. It comes down to where your document is going, and how much time you have.

The consul route often makes sense when:

  • You already have a consulate appointment for a passport, PESEL or transcription
  • You live near London, Manchester or Edinburgh
  • Your deadline is weeks away, not days

The sworn translator route often makes sense when:

  • Your document is going straight to a USC office in Poland by post
  • A family member in Poland is handling the paperwork for you
  • Consulate appointments are booked up and you cannot wait
  • You need several documents translated for a court or notary

If you already have a consulate appointment booked, ask whether the translation can be certified at the same visit. It can save you a second trip.

Which Polish Offices Accept Each Kind of Translation

Under Polish rules, both kinds of translation are official, so most offices accept either. What changes from office to office is what is easiest for you.

  • Urząd Stanu Cywilnego (USC) — the civil registry office. Needed for umiejscowienie, which puts a UK birth onto Polish records, and for marriage in Poland
  • Polish consulate in the UK — for a Polish passport, a PESEL number, or transcription handled through the consulate
  • Voivodeship office (Urząd Wojewódzki) — for confirming Polish citizenship through a parent or grandparent
  • Polish courts and notaries — for inheritance and property, where a sworn translation is usually expected

If the office has sent you a letter or a list, read it carefully. It will often say which form of translation it wants.

If your child was born here and you are heading for a Polish passport, we have set out the whole PESEL and passport process for a UK-born child from start to finish.

Does a Notarised Translation Work in Poland?

Not on its own. This is where people often waste money.

A UK notary confirms who signed a document. A notary does not check the translation, and a notarised UK translation does not become a sworn translation.

Several of our Polish customers have ticked the notarisation box when ordering, expecting it to make the translation acceptable in Poland. It does not. Unless the Polish office has asked for notarisation by name, you almost certainly do not need it.

If a Polish office has asked for it in writing, it helps to understand what a notarised translation involves before you book one.

Why Polish Offices Need the Long Form Certificate

Before you think about translation at all, check which UK birth certificate you have.

The long form certificate names both parents and gives their places of birth. The short form only shows the child’s name, date and place of birth.

A USC needs the parents’ details to put the birth onto Polish records. So a short certificate cannot be used, however well it is translated, and whichever route you choose.

If the short one is all you have, order the long form from the General Register Office first. It is the most common reason a Polish file is sent back.

Do You Need an Apostille for Poland?

It depends on the office. Some Polish offices ask for an apostille on the UK certificate. Many do not.

If yours does, keep this order:

  • Get the apostille stamped on the original UK certificate first
  • Then have the certificate and the apostille page translated together
  • Take both to the consul, or send both to the sworn translator

Doing it the other way round means the stamp lands on the wrong document, and you end up paying for the translation twice.

Getting the Polish Surname Right on Polish Records

Polish surnames change their ending depending on who is being named — a man is often -ski, a woman -ska. A UK certificate does not work like that.

Here is the important point. A translation copies names exactly as they appear on your original. It cannot change them.

If you want your child’s name recorded in the Polish form on Polish records, that is a separate request you make to the USC during transcription. It is not something a translator or a consul does.

What a good translation does do is keep Polish letters such as ł, ś and ż where they belong, so the name is not quietly changed into something else.

Cost and Timing: Sworn Translator Versus Consul

Both routes cost money and both take time, just in different places.

With a sworn translator:

  • You pay the translator’s fee, which varies from translator to translator
  • There is no consulate appointment to wait for
  • The translation can be posted to you, or sent straight to Poland

With the consul:

  • You pay for the translation, and then a consular fee per page
  • You need an appointment, and slots can be booked weeks ahead
  • You usually have to attend in person

If you have a tight deadline, the consulate diary is often the slowest part. If you have several documents, add up both options before you choose.

Waiting for a consulate slot is where many families lose time. Read how one mother secured a Polish passport for her UK-born child without embassy delays.

How We Prepare Your English to Polish Translation

We work as birth certificate translation experts in the UK, and most of the Polish certificates that reach us come from parents of children born here, or from families claiming citizenship through a grandparent.

When you send us your certificate, we start with the questions that decide your route:

  • Which office is it for? A USC, the consulate, a voivodeship office, a court
  • Is it the long form? If not, we tell you before you pay
  • Is there an apostille? If so, we translate it with the certificate
  • Are there more documents? Several children, or a family chain, go in one order

If you are taking the consul route, we prepare a clean, accurate Polish translation laid out so the consul can check it easily. If your office wants a sworn translation, we tell you honestly at the quote stage what we can provide and what it costs — before you pay anything.

Before You Order: A Quick Polish Checklist

Run through this before you spend anything:

  • ✅ You have the long form UK birth certificate
  • ✅ You know which Polish office will read it
  • ✅ You have decided between the sworn translator and the consul route
  • ✅ You know whether that office wants an apostille
  • ✅ You are not paying for notarisation nobody asked for
  • ✅ You know that a surname change is a separate request at the USC

Get those right and your Polish file has very little reason to come back.

👉 Send us your certificate and tell us which office asked for it. We will reply the same working day with a price, a date, and a straight answer on which route you need.
